Section 1.1

Booking Confirmation & Seat Allocation

A booking is considered confirmed only after receipt of the required booking amount and confirmation from Saahasi Outdoors. All bookings are subject to availability at the time of payment; seats are allocated on a strict first-come, first-served basis.

Section 1.2

Mandatory Booking Amount & Payment Steps

A booking amount is mandatory to block your seat, varying by trip type and destination. For certain discounted offers or special departures, it may be non-refundable. The payment breakdown is as follows:

Seat Confirmation

Pay the initial booking amount per person to block your slot on the expedition. This amount is non-refundable but adjustable.

Step 02
Mid-Term Payment

30 to 45 days before the departure date, 50% of the total tour cost must be cleared to secure vendor logistics.

Step 03
Final Clearance

The remaining balance must be paid in full at least 15 days before the departure date to generate your final boarding pass.

Pricing, Inclusions & Price Protection

The trip cost includes only services explicitly listed under the “Inclusions” section. While prices are subject to change due to fuel or vendor fluctuations, your price remains locked once booked (unless you reschedule or upgrade).

Modes of Payment & Charges

Payments can be completed via UPI, Direct Bank Transfer, or our Online Payment Gateway. Please note that any processing or transaction charges applied by the payment gateway must be borne by the participant.

Section 1.5

Name Changes & Participant Substitutions

Bookings are highly personalized and cannot be transferred or resold to another individual without the explicit, written consent of Saahasi Outdoors. Requests for name substitutions are subject to approval and may incur nominal administrative fees from vendors.

Section 1.6

Unforeseen Fee Alterations

Saahasi Outdoors reserves the right to adjust the tour price after booking solely in the event of government-mandated tax hikes, sudden massive spikes in fuel costs, or sharp increases in local environmental permit fees in restricted zones.

Section 1.7

Right to Refuse Booking

To ensure group safety during extreme expeditions, Saahasi Outdoors reserves the right to decline or cancel a booking if a participant fails to produce mandatory medical fitness declarations or does not meet the necessary technical skill requirements for the selected itinerary.

IMPORTANT DEADLINE: Failure to complete the final payment by the 15-day deadline may result in auto-cancellation of the slot.

Standard Cancellation Timeline

The cancellation charges depend entirely on the number of days remaining before the scheduled departure. Charges are calculated on the full trip cost, not the amount paid to date:

The booking becomes strictly non-refundable. All resources, stays, and expedition gear have been fully locked in and paid for.

Section 2.2

Official Cancellation Process

All cancellation requests must be made formally via your Registered Email to saahasioutdoors@gmail.com or via message to our Official WhatsApp at +91-9923200044. Verbal communication, phone calls, or texts to individual trip guides will not be recognized as valid. The exact date of the written timestamp will be used as the definitive marker for calculation.

Section 2.3

Partial Payment Clause

Cancellation charges apply to the full trip cost, irrespective of the current amount paid by the participant. If only a partial deposit was made, any remaining penalty deficit must be paid off before account clearance or before credit vouchers are authorized.

Section 2.4

Cancellation by Saahasi Outdoors

In the rare event that we must cancel a trip due to insufficient group numbers or internal logistics, participants will be offered a choice between a 100% full refund of the amount paid or a transfer to another scheduled departure date.

Refund Processing Timeline

Eligible refunds calculated after applying the necessary cancellation penalties will be processed within 7โ€“10 working days from the date of official cancellation confirmation. All payouts will be issued via the original payment method or secure bank transfer to the participant’s verified account.

Section 3.2

Non-Refundable Costs

The following items are strictly out-of-pocket for Saahasi Outdoors and are entirely non-refundable under any circumstance:

Transaction Fees

Any payment gateway charges, credit card convenience fees, or international transaction costs incurred during booking.

Permits & Government Levies

Monies paid for restricted area permits, inner-line documentation, wildlife fees, or environmental green taxes are locked instantly by government offices and cannot be retrieved.

Section 3.3

No Refund Scenarios

No cash refunds or credit vouchers shall be issued in the following instances where trip mechanics have already been locked into action:

  • Arriving late or failing to show up at the designated meeting point for departure.
  • Voluntarily leaving or abandoning the expedition halfway through for any personal reason.
  • Being required to descend or evacuate the trip due to medical unfitness or Acute Mountain Sickness (AMS).
  • Forcible removal from the trip by the expedition leader due to non-compliance with safety protocols, drug/alcohol abuse, or behavioral misconduct.

Unused Services Policy

No partial refunds or discounts will be granted for any services included in the tour package that are left unused by the participant. This includes, but is not limited to, missed meals, skipped hotel nights, unused rental gear, or segments of the journey where a participant chooses not to ride or trek.

The credit amount saved as a digital voucher for future trips depends strictly on the cancellation timeline before departure:

A high credit carry-forward. Only 25% is retained to cover initial vendor bookings and operational locks.

Half the value is securely retained as credit for your next adventure with Saahasi Outdoors.

Less than 15 Days out

The booking becomes strictly non-refundable and no voucher can be issued. All resources, stays, and expedition gear have been fully locked in and paid for.

When a cancellation qualifies for credit under the tiers above, Saahasi Outdoors will issue a Digital Cancellation Voucher (delivered as a unique single-use code) reflecting that specific percentage amount. This voucher is strictly valid for a period of 12 months from the date of issuance.

Section 4.2

Voucher Redemption Rules

To ensure smooth booking operations, the following rules apply to all issued vouchers:

Non-Transferable

Vouchers are tied specifically to the participant’s registered identity and email. They cannot be transferred, shared, sold, or redeemed by another person.

Price Difference Coverage

If the new expedition cost is higher than the voucher value, the participant must pay the remaining balance at checkout. If the new trip cost is lower, the remaining voucher balance cannot be redeemed for cash or carried forward.

Section 4.3

Blackout Dates & Availability

Redeeming a voucher code is strictly subject to slot availability on the newly requested expedition. Saahasi Outdoors reserves the right to declare certain high-demand peak dates, festival departures, or specialized limited-seat expeditions as “blackout dates” where vouchers cannot be utilized.

Section 6.1

Uncontrollable Delays & Route Shifts

Due to the unpredictable nature of high-altitude environments, the execution of itineraries remains strictly subject to ground conditions:

Situations Covered

Trips may be altered, delayed, or cancelled due to extreme weather, natural disasters, government restrictions, sudden roadblocks, or any situation entirely beyond human control.

Disruptions Occurring Mid-Trip

Cash refunds, partial returns, or credit vouchers will not be granted for any disruptions, early dropouts, or route locks occurring after the trip has officially commenced.

Policy in Pre-Departure Cases

Saahasi Outdoors will actively try to provide an alternate itinerary or adjust travel plans. If a client rejects the provided alternate itinerary, it will be treated as a voluntary cancellation.

Additional Costs Liability

Any additional costs arising due to such force majeure situations must be borne directly by the participant on the ground.

COMMAND EXECUTION: The expedition leaderโ€™s decision to alter or cancel routes due to severe weather is final and non-negotiable. Prioritising the lives of the team always takes precedence over adhering to a set itinerary.

Section 7.1

Mandatory Health Disclosure & Physical Fitness

Participants must honestly disclose all pre-existing medical conditions (including but not limited to asthma, heart conditions, severe allergies, or recent surgeries) before the expedition. Hiding or misrepresenting medical history shifts all ensuing health liabilities and on-ground costs entirely onto the participant.

Section 7.2

Mid-Trek Dropouts & AMS Realities

If a participant is forced to descend, stay behind at a base camp, or abandon the trek midway due to Acute Mountain Sickness (AMS), extreme physical exhaustion, or injury, no refunds or credit vouchers will be issued for the unutilized days of the trip, as all resources were prepaid.

Section 7.3

Evacuation & Medical Costs Steps

In the event of an unavoidable high-altitude crisis, rescue operations are executed under precise protocols. All liabilities for costs fall as follows:

Immediate Field Extraction

Any costs for emergency transport (horses, specialized vehicles, or helicopter evacuations) must be paid directly on the spot by the participant.

Ground Coordination

Saahasi Outdoors will actively assist in coordinating rescue operations but holds zero financial liability for payment settlements with rescue agencies.

Section 7.4

Leader’s Absolute Medical Authority

To prevent catastrophic medical scenarios, the expedition leader or assigned ground guide holds the absolute final authority to prevent a participant from continuing the route if they judge the individual’s physical or mental health to be compromised.

IMPORTANT NOTICE: Participants are highly advised to carry specific high-altitude travel insurance that covers emergency helicopter evacuations.

Behavior & Content Management

All participants must actively adhere to the code of conduct and marketing agreements during the trip operations:

Discipline & Conduct

Participants must read the itinerary carefully, follow instructions of the trip leader, and maintain discipline. Saahasi Outdoors reserves the right to remove participants for misconduct without issuing any refunds or vouchers.

Media & Photography Release

Saahasi Outdoors reserves the right to take photographs and videos of participants during the expedition. These materials may be used for marketing, social media, and promotional purposes. If you do not wish to be featured, you must inform the trip leader in writing prior to departure.

Section 8.2

Luggage & Risk Limitations

Procedures regarding restricted actions and the physical handling of equipment during extreme environments:

Substance & Alcohol Zero-Tolerance

Consumption of alcohol or illicit substances during active trekking days is strictly prohibited as it dangerously interferes with altitude acclimatization. If a participant is found intoxicated, the leader holds the absolute right to off-board them immediately without refunds.

Luggage & Equipment Liability

Participants are solely responsible for their luggage and electronics during rough handling via mules, porters, and off-road vehicles. Saahasi Outdoors holds no financial liability for lost or damaged personal items. Any equipment rented from Saahasi must be returned in functional condition; severe damage or loss will incur replacement fees on the spot.

Section 8.3

Medical Fitness & Final Agreement

Participants must be in good physical health and disclose any pre-existing medical conditions. Adventure travel involving high altitudes carries inherent risks like Acute Mountain Sickness (AMS). If a trip leader deems a participant medically unfit to continue for their own safety, they will be asked to step down, and no refunds or vouchers will be granted for unused portions of the trip.

By booking a trip with Saahasi Outdoors, the participant confirms they have read and understood all policies, agrees to all terms and conditions, and accepts the risks associated with adventure travel.

BINDING CONTRACT: Payment of the booking amount acts as your digital signature, confirming your full agreement to every policy outlined in this document.

Jurisdiction

This agreement and the rights and obligations of the parties will be construed and take effect in accordance with and be governed by the laws of India.

06. Trip Modifications / Force Majeure

Section 6.1

Uncontrollable Delays & Route Shifts

Due to the unpredictable nature of high-altitude environments, the execution of itineraries remains strictly subject to ground conditions:

Situations Covered

Trips may be altered, delayed, or cancelled due to extreme weather, natural disasters, government restrictions, sudden roadblocks, or any situation entirely beyond human control.

Disruptions Occurring Mid-Trip

Cash refunds, partial returns, or credit vouchers will not be granted for any disruptions, early dropouts, or route locks occurring after the trip has officially commenced.

Policy in Pre-Departure Cases

Saahasi Outdoors will actively try to provide an alternate itinerary or adjust travel plans. If a client rejects the provided alternate itinerary, it will be treated as a voluntary cancellation.

Additional Costs Liability

Any additional costs arising due to such force majeure situations must be borne directly by the participant on the ground.

COMMAND EXECUTION: The expedition leaderโ€™s decision to alter or cancel routes due to severe weather is final and non-negotiable. Prioritising the lives of the team always takes precedence over adhering to a set itinerary.

07. Medical & Fitness Liability

Section 7.1

Mandatory Health Disclosure & Physical Fitness

Participants must honestly disclose all pre-existing medical conditions (including but not limited to asthma, heart conditions, severe allergies, or recent surgeries) before the expedition. Hiding or misrepresenting medical history shifts all ensuing health liabilities and on-ground costs entirely onto the participant.

Section 7.2

Mid-Trek Dropouts & AMS Realities

If a participant is forced to descend, stay behind at a base camp, or abandon the trek midway due to Acute Mountain Sickness (AMS), extreme physical exhaustion, or injury, no refunds or credit vouchers will be issued for the unutilized days of the trip, as all resources were prepaid.

Section 7.3

Evacuation & Medical Costs Steps

In the event of an unavoidable high-altitude crisis, rescue operations are executed under precise protocols. All liabilities for costs fall as follows:

Immediate Field Extraction

Any costs for emergency transport (horses, specialized vehicles, or helicopter evacuations) must be paid directly on the spot by the participant.

Step 02
Ground Coordination

Saahasi Outdoors will actively assist in coordinating rescue operations but holds zero financial liability for payment settlements with rescue agencies.

Section 7.4

Leader’s Absolute Medical Authority

To prevent catastrophic medical scenarios, the expedition leader or assigned ground guide holds the absolute final authority to prevent a participant from continuing the route if they judge the individual’s physical or mental health to be compromised.

IMPORTANT NOTICE: Participants are highly advised to carry specific high-altitude travel insurance that covers emergency helicopter evacuations.

08. Participant Responsibilities & Liabilities

Section 8.1

Behavior & Content Management

All participants must actively adhere to the code of conduct and marketing agreements during the trip operations:

Discipline & Conduct

Participants must read the itinerary carefully, follow instructions of the trip leader, and maintain discipline. Saahasi Outdoors reserves the right to remove participants for misconduct without issuing any refunds or vouchers.

Media & Photography Release

Saahasi Outdoors reserves the right to take photographs and videos of participants during the expedition. These materials may be used for marketing, social media, and promotional purposes. If you do not wish to be featured, you must inform the trip leader in writing prior to departure.

Section 8.2

Luggage & Risk Limitations

Procedures regarding restricted actions and the physical handling of equipment during extreme environments:

Substance & Alcohol Zero-Tolerance

Consumption of alcohol or illicit substances during active trekking days is strictly prohibited as it dangerously interferes with altitude acclimatization. If a participant is found intoxicated, the leader holds the absolute right to off-board them immediately without refunds.

Luggage & Equipment Liability

Participants are solely responsible for their luggage and electronics during rough handling via mules, porters, and off-road vehicles. Saahasi Outdoors holds no financial liability for lost or damaged personal items. Any equipment rented from Saahasi must be returned in functional condition; severe damage or loss will incur replacement fees on the spot.

Section 8.3

Medical Fitness & Final Agreement

Participants must be in good physical health and disclose any pre-existing medical conditions. Adventure travel involving high altitudes carries inherent risks like Acute Mountain Sickness (AMS). If a trip leader deems a participant medically unfit to continue for their own safety, they will be asked to step down, and no refunds or vouchers will be granted for unused portions of the trip.

By booking a trip with Saahasi Outdoors, the participant confirms they have read and understood all policies, agrees to all terms and conditions, and accepts the risks associated with adventure travel.

BINDING CONTRACT: Payment of the booking amount acts as your digital signature, confirming your full agreement to every policy outlined in this document.

Jurisdiction

This agreement and the rights and obligations of the parties will be construed and take effect in accordance with and be governed by the laws of India.
